About Therapport

Therapport Limited provides high-quality meeting and therapy room rental, working primarily with counsellors, psychologists and psychotherapists. We are a small, values-led organisation that prioritises clarity, reliability and respectful communication in our relationships with practitioners.

The role

We are seeking a qualified counsellor or psychotherapist, a student or trainee in one of these professions, or someone with a good understanding of the counselling and psychotherapy field, to manage the day-to-day operations of our two office rental locations in South Kensington and Pimlico.

We value working with someone who is sensitive to the environmental, practical and service needs of therapeutic practitioners and other professionals who rent with us.

There is flexibility in creating your own weekly schedule, but you must attend each site at least once a week, with approximately 60% of your working hours taking place in person. The role very occasionally requires work outside normal hours, which will be repaid through time off in lieu.

The role may be particularly well suited to someone who has established, or is in the process of establishing, their own private practice, or who is invested in creating welcoming, functional and professionally managed spaces for therapeutic work.

Key responsibilities

Managing the office spaces

Ensure consulting rooms and shared areas are well presented, welcoming and appropriately maintained.
Assist with design decisions, furniture updates and refurbishment projects.
Manage orders, stock levels and deliveries of consumables and other supplies.
Liaise regularly with the cleaner and address any cleaning-related issues.
Water plants weekly and monitor their condition.
Identify practical improvements to the spaces and take appropriate action within the agreed budget.

Health and safety and maintenance

Arrange regular carpet cleaning, window cleaning and other routine maintenance.
Record, update and maintain health and safety documentation and compliance processes.
Arrange contractors, provide access to the premises and follow up on outstanding work.
Ensure fire-safety procedures are understood and followed.
Report, assess and respond appropriately to maintenance problems or safety concerns.

Marketing

Arrange and conduct viewings for prospective renters.
Respond promptly and professionally to prospective renters by email and telephone.
Support video recordings, photography and other promotional activities.
Help present the offices and available rooms accurately and positively to prospective joiners.

Supporting renters

Arrange and provide in-person inductions for new joiners.
Respond to and resolve renters’ questions, concerns and practical difficulties.
Support the onboarding process, including checking documents, issuing contracts and assisting with room bookings through the Therapport webapp.
Share responsibility for monitoring the general inbox and responding to calls and Microsoft Teams messages.
Communicate changes, repairs and important office information clearly and sensitively.
Maintain appropriate professional boundaries and confidentiality when handling renter information.

Meetings and team communication

Attend fortnightly team meetings.
Attend and help organise twice-yearly renters’ meetings.
Attend monthly supervision and management meetings with the Director.
Work collaboratively with the Director, the other Office Manager and external contractors.
Keep clear records and provide updates on ongoing tasks, problems and projects.

Finances and administration

Monitor and maintain the relevant office budget.
Upload receipts and invoices accurately and promptly.
Keep organised records relating to maintenance, contractors, purchases, renters and compliance.
Obtain quotations and compare costs where appropriate.
Use company resources responsibly and seek approval for expenditure outside the agreed budget.

Terms and benefits

The post is 10.5 hours a week on a PAYE basis, worked across South Kensington, Pimlico and remotely, with roughly 60% of the time on site.

Six weeks’ annual leave, including bank holidays
Pension contributions
Sick pay
Cycle-to-work scheme
A discount on your first regular room-rental slot at each practice, and on every additional slot
A discretionary, non-contractual, performance-related annual bonus, payable in June and subject to company performance and individual contribution
